From the standpoint of organizing the process, I'll share a few methods I've found useful. When confronted with a complex task involving sequential interrelated steps I'll often get a pack of 3x5 notecards and randomly note the various steps in the process. This can be done over a period of time before the project starts, as ideas come to mind. One doesn't necessarily think of all the steps at one time, so doing this over a period of days can help get a more complete picture of what needs to be done. I then spread the cards out on a table and organize them into a workable sequence. Once sequenced, I'll type the information into a spreadsheet and do any further tweaking as needed. Other information can be added also (timing, personnel, costs, etc.). This can then be used to construct a Gantt chart, where the sequence of a process is graphically plotted. The Gantt chart also allows one to assume contingencies such as sick days, vacations, weather, etc. Complete information on this is available online. I believe there are free templates available also. I would also research case histories of similar projects, but be certain to add the needs that are peculiar to your own situation.
