  • 1.  Online disaster plan with vendor and security

    Dear colleagues,

    Our organization is looking into collections emergency/ disaster recovery vendors, and concerns were raised about storing information on our building and collections on vendor's digital platforms as a part of an online disaster plan. Has this been a discussion at your organization, and what were the considerations there?

    Rachael Arenstein of A.M. Art Conservation shared the following: 

    This is an interesting issue to think about. I am in private practice and regularly receive sensitive information about floorplans and collection inventories from institutional clients. I don't know if that is thought of differently than sharing information with a large commercial organization. 

    I suppose one way to look at it is where is the greater risk, not being prepared for a disaster or some sort of data breach?  And what is the essential information a vendor would need to do their work in the event of an emergency.

    Are you able to specify which digital platform(s) are under discussion? I wonder if that could prompt more people to share their experiences. I'd also suggest posting the question in the AIC Member Community and/or Global Conservation Forum where you could reach more people with relevant experience. In the meantime, I think Rachael's questions are key to making the decision with your institution.

    Hi Rebecca and Rachael,

    Thank you so much for asking around and for sharing your thoughts! I may be overly cautious, but am not sure if I can discuss which vendor we decided to work with. I do assume every vendor would have some digital platform to share floorplans, emergency plans, information about the collection, etc. to ensure efficient and rapid response after an emergency.

    I appreciate Rachael's suggestion to weigh the risks, and her perspective as a private conservator storing sensitive information about institutions she works with. A data breach risk is something to consider, and efficient communication is an important component of preparedness. Thank you also for the suggestion to post this on the AIC Member Community, I will do that.

    Lyrasis are a good resource for a lot of questions regarding digital collections in general; I reached out to colleagues there for some direction on specific resources on this topic. The response I received is below …

     For the Emergency Preparedness for Digital Collections, much of the information we use is now listed with the DPOE digital preservation education website at:  https://www.dpoe.network/digital-preservation-resource-guide/

     There are some other resources that might be useful.  One is on the Lyrasis Bibliography attached, it is the Charlotte Hiatt book:  https://www.lyrasis.org/services/Documents/Planning%20and%20Preparedness/Disaster-Preparedness-Recovery.pdf

     Additionally, there is a good article on the CORE-UK site; although it is for developing countries, it has generally useful information:  https://core.ac.uk/download/pdf/185518752.pdf.
