BPG Publications Committee

Mission

The goal of the Book and Paper Group (BPG) Publications Committee is to record and disseminate the professional body of knowledge pertaining to book and paper conservation generated by or for the membership. The primary audience of BPG publications is the BPG professional membership. It is expected that BPG publications will also serve allied professionals by exposing the depth of professional conservation practice and theory. The design and content of these publications assumes an audience that is primarily practicing conservators of this specialty group.

Policy

The BPG Publications Committee oversees planning, production, availability and potential revision of all BPG publications. The BPG Publications Committee consists of representatives of the BPG Annual, PCC and BCC, as well as the BPG Chair. The BPG Publications Committee Chair (or Co-chairs) serves at the pleasure of the BPG Executive Council. The BPG Publication Committee Chair appoints other committee members. Distribution of the Annual and other BPG publications is considered by the BPG Publications Committee and approved by the BPG Executive Council.

Currently, the main publication of the BPG is the Annual which is produced yearly in printed and electronic form. It is intended to be primarily a record of papers presented at the BPG annual meeting. The Annual may include other submissions. Approval of the dedication of a volume of the Annual is a duty of the committee.

Another publication project is the Book and Paper Group Wiki, which is intended to be a comprehensive record of treatment-related topics, arranged systematically with descriptive details. The BPG Wiki grew out of the Paper Conservation Catalog (PCC) and the Book Conservation Catalog (BCC). Twenty-five chapters of the PCC were published from 1984 to 1994, and eighteen chapters of the BCC were developed, but never published. In 2009, they were both migrated into the new AIC Wiki and have since grown into 26 Paper Conservation chapters, 18 Book Conservation chapters, and 9 chapters of shared interest, as well as multiple how-to-edit and navigation pages. Links have steadily grown between the BPG pages and the AIC Wiki pages maintained by other specialty groups.

The BPG Publications Committee will consider writing letters of support for applications to outside granting agencies. Depending on available resources, the Committee may consider certain proposals for limited finding. If a request exceeds $1000, the BPG membership must vote to approve funding at its annual business meeting.

    May 2013
    The Publication Committee had a short meeting during the AIC Annual Meeting in Indianapolis, 2013.

    The following committee members attended the meeting: Priscilla Anderson, Catherine I. Maynor, Rachel K. Freeman, Amy Baker, Walter Henry, and Olivia Primanis.

    The meeting served as an update session on PubComm and BPG activities. Topics that were discussed included future changes in functionality of the AIC website; incorporating social media in BPG communications with access via the updated AIC-BPG website; and, rising costs for Annual meeting activities to be funded by the BPG.

  • Publications Committee Meeting Minutes 2012

    The following committee members attended the meeting, held during the annual meeting in Albuquerque, NM: Olivia Primanis, Penley Knipe, Karen Zukor, Catherine Maynor, Rachel Freeman, Laura Bedford, Cher Schneider, Renee Wolcott.

    The main focus of this short meeting was welcoming and orienting new members of the Paper Conservation Catalog (PCC) Wiki team. The history of the print PCC was discussed, as was the progress and approach of the BCC Wiki team since they began work in early 2012. Many details regarding Wiki training and conventions were also discussed.

    November Mid-Winter Meeting

    The following committee members attended the meeting, held in Washington, D.C.: Karen Zukor, Olivia Primanis (chair), Penley Knipe, Renee Wolcott, Lynn Kidder, Amy Baker, Bruce Bumbarger, and Sue Murphy.

    The following committee members joined the meeting by phone to discuss their areas of involvement: Walter Henry, Christine McCarthy, and Shannon Zachary.

    1) BPG Annual Publication

    Rene Wolcott was welcomed as incoming editor of the BPG Annual. She discussed current procedures for the publication of the Annual that she observed by assisting Jim Hinz publish the 2010 and 2011 Annual over the past year. Basically, authors presenting at the AIC BPG session are notified to submit a press ready article of their talk with adequate-sized digital images. Edwards Printing in Ann Arbor, Michigan still has the most competitive pricing and remains the publisher of choice for the print Annual.

    The BPG-PubComm members discussed the demand for a print edition versus an online-only version of the Annual. Two years ago members at the annual AIC-BPG business meeting voted to continue the print version. At the 2009 meeting in Milwaukee members voted to add $5.00 to the BPG dues to pay for a print Annual. The current cost of printing, mailing and design of one thousand copies of the Annual is approximately $11,000.

    Print on Demand (POD) publication of the Annual was also discussed. At this time it is not a viable option because printers that offer POD require a guaranteed purchase of large number of copies.

    Progress Report from Walter Henry and Amy Baker about Online Access of Annual

    Amy Baker and Walter Henry continue their work to prepare earlier Annuals for online access. Walter has written code to gather metadata from the PDFs for the tables of contents and Amy is preparing and inserting the color images for the online PDFs. These color images will replace the black and white images of the print version. Currently the 2001 and 2002 Annuals have been completed and are online: the 2003 Annual is near completion.

    Timeframe for Getting Annuals Online; Access for Non-Members

    In the past there has been discussion about how long to wait after the publication of an Annual before it goes online and/or if there should be some kind of restriction so that only BPG members could access the most recent publications. For the time being, it has been decided that all Annuals should become available online as soon as possible. Once all the Annuals are online the BPG-PubComm can poll the membership again to clarify the details of future access.

    Annual Publication General Comments

    Authors continue to submit digital images that are too small to render a clear print image.

    Following some questions about the publication of the summaries of the LCCDG and ADG specialty group sessions in the Annual, the BPG-PubComm reviewed and reconfirmed current guidelines. The Guidelines are sent to speakers once their papers are included in the annual meeting schedule. A copy is included in Guidelines for Discussion Group Moderators included as an appendix to this document.

    It was noted that the BPG-PubComm encourages presenters to submit their articles to be reviewed for possible publication in the JAIC.

    2. Application Form for BPG members to Request Funds to Complete Monographs

    In recent years the AIC administration has requested that the specialty groups spend down accounts that hold an excess of two years operating expenses in order to better comply with laws for non profits. The BPG has an $11,000 surplus that was generated from sales of the print version of the Paper Conservation Catalog. Currently this money is being used to fund the design of the Annual, which costs approximately $2000. per year. It is also supporting work to get the Annual online.

    BPG members also wanted to support publications by the membership. To that end Yasmeen Khan and committee were asked to prepare an application form whereby BPG members could request funds "towards the preparation for publication of a completed monograph on an area of interest to the Book and Paper Group." Funds, up to $3000, would be awarded to defray the costs of the final preparation of the monograph, such as copy editing, indexing, and image reproduction rights. For more information, please see the the document outling the AIC Book and Paper Group Publishing Fund Guidelines included as an appendix to this document.

    The BPG-PubComm decided to offer up to $3000. of this money to support a monograph. The remainder would be used for the design of future Annuals.

    Funding for the production and printing of the Annual will have to be reviewed by the membership at the 2014 Annual AIC meeting.

    (Background: The printing and mailing of the Annual is paid by dues, the cost of the design, which was added for the past two issues, is supported by the $11,000 reserve.)

    3. Update on the BCC WIKI

    The new BCC WIKI team – Lynn Kidder, Christine McCarthy, Evan Knight and Laura Bedford – began their work with the Book Conservation Catalog WIKI during this past year. They familiarized themselves with the AIC WIKI technology, they finalized an outline of the BCC WIKI and they developed a front page for the BCC WIKI. They recruited volunteers by revving up interest at the AIC Annual Meeting, through general emails and by calling colleagues they thought might be interested. With this foundation in place, they feel prepared to lead the WlKI AIC EDIT-A-THON in January 2012 for the BPG Book Conservation Catalog.

    4. Update on the PCC WIKI

    Kate Manor is working on recruiting a team to coordinate the Paper Conservation Catalog WIKI. The original chapters of the Paper Conservation Catalog are online as downloadable PDFs and have also become the basis of chapters in the WIKI.

    5. Technology for Virtual Meetings

    Members of the BPG-PubComm have always found the fall meeting to have a positive impact on the goals of the committee. This year a few key members were not free to travel. We were able to get input from these members by phone, using a speaker phone. The input was a definite benefit to the meeting, but it has inspired us to look into some sort of technology like Skype for our virtual participants.

    6. Mid-Winter Meeting Funding

    Members of the BPG-PubComm have a total of $2000 to spend on travel, lodging and food for the mid-winter meeting.

    7. Committee Members and Positions

    Laura Bedford accepted the position of BPG-PubComm secretary and volunteer coordinator.

    Karen Zukor stepped down as Chair of BPG-PubComm and Olivia Primanis accepted the position of chair.

    To Do List

    Write job descriptions for various positions on the BPG-PubComm committee.

    Find a volunteer to research grants that would support publications undertaken by the BPG membership. The PubComm could act as sponsor for a grant or simply gather the names of grantors that members could approach.

    Develop a paper archive for future members to convey the history of the committee and officers. The archive would include, at a minimum, the Minutes of past meetings and other important documents. The archive will be assembled from the BPG PubComm online archive on CoOL.


    June Annual Meeting

    The following committee members attended the meeting, held during the annual meeting in Philadelphia: Jim Hinz, Walter Henry, Kate Maynor, Olivia Primanis, Amy Baker, Lynn Kidder, Christine McCarthy, Bruce Bumbarger, Evan Knight, Karen Zukor and Penley Knipe.

    1) Discussion about the Annual

    Jim Hinz brought us up to date on the publication schedule for Volume 29 (2010), which should be out around October. He has streamlined the process by no longer accepting late papers as it causes too many problems. "In general the publication process has been too accommodating, which doesn't really benefit anyone as it just promotes tardiness, and late papers are unfair to contributors and editors alike." Jim also said that although he would see the current (2011) Annual through to publication, he was recommending a replacement. His choice was a recent conservation graduate, Renee Wolcott, who he has worked with and who has considerable editorial and writing skills. Jim said Renee had some design experience as well. He has agreed to 'mentor' her through the 2011 Annual, so that there would be a seamless transition. The long-waited 2007 publication is due to arrive any day, and will likely be in our mailboxes a week or two after this meeting.

    A thank-you card for Shannon Zachary was signed by all and is to be sent to her along with a copy of Banik and Bruckle’s Paper and Water. Shannon was not present at this meeting.

    2) BPG Annual Online (Walter Henry & Amy Baker)

    Volume 21 is now accessible online. Volumes 20 and 22 are close to getting online. Amy Baker is working to convert the BPG Annual printed edition files to PDFs, including converting black and white to color images. Walter Henry developed software to extract metadata from the PDFs in order to add that information to the website http://cool.conservation-us.org/coolaic/sg/bpg/annual/. Future workflow for creating online content from the print Annual was also discussed.

    3) Update on Book Conservation Catalog(Lynn Kidder & Christine McCarthy)

    Lynn Kidder, Christine McCarthy, Evan Knight and Laura Bedford have revised the outline of the Book Conservation Catalog WIKI. They are working with Rachel Arenstein to learn how the Wiki software works. They continue to recruit contributors who are willing to work on the BCC, mainly through the WIKI. See Appendix 1 for Lynn Kidder's email: "Summary of Status of the BPG Wiki."

    4) Electronic Publications

    There was discussion about how BPG was going to address the Wiki and whether we should speak with other specialty groups to see how they were choosing to participate. Most of us were not familiar with how information got posted to the Wiki, or who was given access. A workshop during this AIC meeting will address these questions. It is to be run by Rachel Perkins Arenstein and a number of people attending the BPG-PubComm meeting were signed up to attend. Although no formal approach was adopted, there was discussion about and agreement with the idea that there still needs to be an ‘editor’ or overseer who is responsible for determining who has access to add or modify a contribution on the Wiki, although anyone will of course be able to read it (public and AIC members alike). Right now a request to become a contributor must be sent to Rachel who runs the training course (by phone).

    5) Update on Paper Conservation Catalog

    The updated draft of the Inpainting bibliography was put aside until the process of working with the Wiki was decided upon.

    6) Volunteer coordinator

    It was announced that a new volunteer coordinator was needed since Kathy Ludwig resigned from the committee.

    7) Funding to Help Other Publications

    Guidelines for an "American Institute of Conservation Book and Paper Specialty Group Publishing Fund" were submitted for approval. The guidelines were developed by Yasmeen Kahn and can be found in Appendix II to these minutes. They were developed following a request at the AIC 2010 meeting by AIC officers to spend down reserves in the BPG treasury. Before the Guidelines could be accepted questions came up about who the BPG prefers to support – members of BPG who wish to publish or ongoingBPG Annual and Wiki expenses? There will be further discussion on this topic at the 2011 mid-winter meeting.

    8) BPG Pubcomm Archive

    Olivia Primanis spoke of assembling a paper archive for the committee. Walter Henry said that if we use the PubComm list for our messages they will be archived. Bruce Bumbarger recommended that all notes and records of meeting, conference calls, etc. be sent to him so that he can electronically archive them.

    9) Committee Responsibilities/Continuing Participation

    Kate Maynor spoke of needing to find new volunteers to work on the online and Wiki version of the PCC.

  • Publications Committee Meeting Minutes 2007

    Shannon Zachary, Interim Chair

    Present: Walter Henry, Emily Jacobson (Chair, Book & Paper Group), Kathy Ludwig, Kate Maynor, Olivia Primanis, Alan Puglia, and Shannon Zachary (Interim Chair, BPG Publications Committee). Guests: Scott Homolka, Stephanie Lussier, and Karen Zukor.

    The Publications Committee invited Scott Homolka and Stephanie Lussier to convene a Paper Conservation Catalog (PCC) Task Force charged to look at future directions for the PCC. The Task Force should consult freely beyond their members to brainstorm on the broad issues of this question, such as: Is the PCC as originally conceived (as a core text in a field with insufficient published literature) still necessary at all, or is the need now filled in other ways? Should the PCC continue to fill in the existing outline with chapters that haven't yet been written? Initiate revisions of chapters that have been written? Should some or all new material take a different format, such as annotated bibliographies? Should new material be composed and/or distributed in different ways than in the past?

    The PCC Task Force will deliver their recommendations to the BPG Publications Committee in advance of their fall meeting (November 2007) for discussion at that meeting. This timetable will facilitate recommendations for action by the April 2008 BPG Business Meeting in Denver.

    Emily Jacobson, with support from Kate Maynor, will organize hiring an assistant to work through the remaining steps to bring the existing Paper Conservation Catalog (as published in print between 1984 and 1994) online. This effort will be funded by income generated over the years from sales of the PCC.

    Olivia Primanis plans to have the first material from the Book Conservation Catalog online later this year. An announcement will be made to the BPG group email list.

    Shannon Zachary expects to publish volumes 24 (2005) and 25 (2006) of the Book and Paper Group Annual this summer and volume 26 (2007) before next year's Annual Meeting. She will use $3000 approved by the BPG membership to hire assistance to prepare images for publication. After volume 26 she will be looking for a new editor for the Annual.

    Karen Zukor agreed to become the new chair of the BPG Publications Committee, taking over from interim chair Shannon Zachary.

    Thank you to volunteers!

    During the past year, volunteers Rebecca Rushfield and Penley Knipe have prepared article summaries and subject keywords to permit greater specialist-centered access to the online version of Volumes 1–19 of the Book and Paper Group Annual. Rebecca and Penley indexed six volumes this year and are planning to complete an additional seven volumes next year.

  • Publications Committee Meeting Minutes 2004

    Nancy Purinton, Chair

    Attending were Walter Henry, Kathy Ludwig, Kate Maynor, Olivia Primanis, Alan Puglia, Nancy Purinton (chair), and Shannon Zachary

    The committee welcomed new committee member Kathy Ludwig who will have a variety of responsibilities including gathering names of potential volunteers, writing descriptions of volunteer tasks, matching volunteers to tasks, and tracking volunteers so their work may be acknowledged. At present volunteers to the BPG Publications Committee are Whitney Baker who is assistant to the compiler for the Annual, Stephanie Lussier who has done searches for publications subsequent to their publication in the Annual, and Karen Kittridge who has proofread part of the Paper Conservation Catalog.

    During the past year BPG has generously paid for upgrades to Quark, Photoshop, and MacLink for the use of Annual compiler Shannon Zachary. Shannon reported that the layout for volume 22 is complete and a proof copy has been sent to assistant Whitney Baker for proofreading. During the past year, previous Annual compiler and chair of the Publications Committee, Robert Espinosa, expressed his desire to clear out his old files relating to the volumes of the Annual that he compiled. He sorted the files and shipped them to Shannon. She and Walter will review the images in the files and may use them to improve the electronic version of early volumes of the Annual. Walter reported that mounting of the electronic version of Annual volumes 1-19 is now largely complete. Volunteers are being sought to develop retrospective abstracts, keywords, and an index for the electronic version of the Annual. In addition, it was agreed that the deadline for submissions to the Annual, now October 1 every year, will be moved to September 1.

    Walter has scanned all the chapters of the Paper Conservation Catalog and OCR'd (optical character recognition) them. The next task, proofreading, has been started by Karen Kittridge who attended this part of the meeting. She has completed proofreading the "Washing" chapter for the forthcoming electronic version of the PCC and has written guidelines for the proofreading of that document. Additional goals for the PCC are to update the bibliographies, revise existing chapters, and create new ones. There will be a call for volunteers to update PCC bibliographies at the Annual Meeting.

    Book Conservation Catalog has been developing as an online document and Olivia Primanis, BCC compiler, will speak at the BPG Business Meeting about its progress. The Sewing chapter is currently the most developed. Committee member Alan Puglia volunteered to become the compiler for the BCC chapter on Board Attachment.

  • Publications Committee Meeting Minutes 2006

    Shannon Zachary, Interim Chair

    The BPG Publications Committee midwinter meeting met March 17, 2006. The Publications Committee mission and policy statement are available online at http://aic.stanford.edu/sg/bpg/pubc/mission.html. Shannon Zachary is serving as interim chair of the Committee until a new permanent chair is identified.

    The Committee confirmed commitment to the three core BPG publications that are currently active: the BPG Annual, the Paper Conservation Catalog, and the Book Conservation Catalog. Discussion at the meeting focused on how to maintain and move forward these major undertakings with their high dependence on the volunteer efforts of busy professionals. The Committee agreed to seek approval of the membership at the BPG business meeting in Providence for extra financial support for production costs for the Annual. The Committee also agreed that a portion of the budget line representing past sales of the Paper Conservation Catalog and reserved for support of the PCC may be spent on production costs to prepare and mount the PCC on the website.

    The Committee's goals this year include mounting the entire existing PCC online as well as mounting the first parts of the Book Conservation Catalog. The Book Conservation Catalog is being developed as a web-based publication and will appear incrementally as chapters or portions of chapters are prepared. The online publication of volumes 20–23 of the Annual is in process. The Committee is also looking at ways to reduce inventory of back copies of the Annual because of reduced availability of storage.

    We wish to thank Rebecca Rushfield and Penley Knipe who have volunteered to subject index retrospective volumes of the BPG Annual. The online version of the BPG Annual is currently searchable by means of a full-text search engine. Walter Henry is adding key words to allow more specialist-centered subject access to the Annual content. This project was started by Rachel Benbow in 2001 and Rebecca and Penley are indexing the remaining articles.

  • Publications Committee Meeting Minutes 2003

    The BPG Publications Committee held its mid-year meeting in Washington, DC. Attending were Walter Henry, Kate Maynor, Olivia Primanis, Alan Puglia, Nancy Purinton, Shannon Zachary and Karen Zukor (BPG Chair).

    The statement regarding BPG Publications Committee purpose, membership and duties was drafted and distributed to the membership last year. No changes were requested or made so it will now be sent to the BPG Executive Council for approval.

    Volume 21 of the BPG Annual is almost complete and will be dedicated to Christa Gaehde. The form and collection of the permission forms for Annual authors were discussed.

    Progress reported through the year included work by all members of the committee. In the past year two more Annuals were put online, volumes 10 and 11; five more volumes are in process. The Paper Conservation Catalog (PCC) continues to make progress with proofreading scanned chapters and updating bibliographies. The Book Conservation Catalog (BCC) will have a poster session at the 2003 AIC meeting.

    The committee wrote drafts of several documents including guidelines for reports from discussion groups to the Annual, a translation statement, job descriptions for volunteer positions and a statement of purpose for the BCC.

    The Publications Committee held its mid-year meeting in Washington, DC. Attending were Nancy Purinton (Chair), Alan Puglia, Dianne van der Reyden, Shannon Zachary, Walter Henry and Leslie Paisley (BPG Chair). The primary goal of the meeting was to write the Policy statement for the committee, included in this mailing. Other highlights were as follows:

    Jane Klinger has resigned from the committee because of her new responsibilities to AIC as Director/Committee Liaison. BPG Secretary/Treasurer Fern Bleckner has stated that the income from the sales of BPG publications is down this year.

    A statement of “Purpose, Membership and Duties” was written for the BPG Publications Committee. Shannon Zachary wrote a policy statement for the Annual last year. Statements of purpose for the Paper Conservation Catalog and the Book Conservation Catalog will be written.

    The BPG website was discussed, especially with regard to the responsibilities of the Publications Committee members to it and what material should be on it.

    The backlog of the Annual was discussed and Nancy's efforts to distribute them. Because samples sets were sent to two contacts in South America, and they wish to translate them, the issue of translation was discussed. It was decided that before making any translation of material from the Annual, the translator(s) must obtain the author's permission. If permission is not obtained, the translation is a violation of copyright. When an article is translated, the translation must include a note of authorization and a complete citation of the original article; otherwise it must be noted that it is an unauthorized translation. A statement regarding translation will be added to the permission statement for the Annual authors.

    Shannon suggested that guidelines for reporting on Discussion Groups for the Annual be written. These could include recommendations like: appointing a scribe for the discussion, recording moderators, main points, issues, disclaimers, citations and handouts. Names of speakers in the discussion would be noted by the scribe for future review during the creation of the report, but would not be included in the report when published. This year the Annual will be dedicated to Carolyn Horton. Any decisions regarding required paper changes for the Annual can be made by Shannon.

    There were no additional submissions to the JAIC as a result of letter from the BPG Publications Committee that was mailed to selected Annual authors.

    The decision to give away the backlog of Annuals and other publications at the next AIC and IIC meetings was discussed. Backlog Annuals will be given away as it is convenient to ship them to meetings. The possibility of giving away the backlog of the Scrapbooks and Albums publication will be discussed with the PMG group.

    Leslie identified 2006 as the 25th anniversary of BPG and the Annual. A celebratory meeting and special volume of the Annual could be planned for the event. Possible coordination between the BPG Executive Council, Education and Programs Committee, Publications Committee and AIC were discussed.

    The committee members discussed their interests and contributions to the committee and the possibility of future new members.

  • Publications Committee Meeting Minutes 2000

    The Publications Committee, co-chaired by Walter Henry and Kate Maynor, held a well-attended lunchtime discussion in Philadelphia for BPG members. Short presentations by committee members were followed by comments and questions from attendees. Discussion centered on practical and philosophical issues relating to the Annual as explicated in Shannon Zachary's excellent handout, a copy of which was sent to all BPG members in the fall mailing. Members are encouraged to send email feedback on publications issues to the committee at bpg-survey@aic.stanford.edu or write Shannon Zachary at Conservation Services, University of Michigan Library, 837 Greene St., Ann Arbor, MI 48104-1048. In general, the discussion affirmed the value of the Annual not only as a record of talks presented at the annual meeting (even if only in abstract form) but also as a venue for less formal or preliminary work. The majority of members who attended the lunch supported the production of both print and online versions and also favored the inclusion of non-meeting submissions. Members expressed concern, however, about commercial distribution of print publications that are not peer-reviewed in a traditional manner and later at the business meeting the membership voted not to sell the joint BPG-PMG Scrapbooks publication through a commercial vendor. In response to comments made by Walter Henry, there was agreement that BPG members should be encouraged to submit papers to JAIC. The Publications Committee plans to take a more active role in that regard.

    Thanks are due to Shannon Zachary whose debut as Compiler and Managing Editor for the Annual (and for Conservation of Scrapbooks and Albums!) has set high standards that, fortunately, are sure to be maintained under her continued watch. Outgoing BPG chair Nancy Purinton has demonstrated her continued commitment by joining our committee and is currently following through on her promise to deal with the considerable stockpile of back issues of the Annual. Thanks are also due to those BPG members who have volunteered to help with proofreading and scanning for the Annual. The Publications Committee will have its mid-year meeting in January, 2001.

    Walter Henry and Kate Maynor (Co-Chairs

    The Publications Committee held its mid-year meeting on January 5 and 6, 2001, in Washington, DC. Attending were Walter Henry and Kate Maynor (co-chairs), Jane Klinger, Olivia Primanis, Alan Puglia, Nancy Purinton, Dianne van der Reyden, Shannon Zachary and Glen Ruzicka (BPG Chair.) A number of topics were discussed, highlights of which are as follows:

    The committee identified the need for documentation of Publications Committee procedures and policies and is drafting text to be posted on the BPG website and in the AIC Newsletter. Areas to be covered include the committee's purpose, duties and composition; policies relating to BPG publications; committee meeting reports; and permission forms and distribution policies for publications.

    Shannon will reorganize the format of the BPG Annual in order to clarify whether an article follows a presentation at the most recent AIC annual meeting (a postprint) or whether it is an independent submission, a paper from a previous AIC meeting or information presented in a poster session. The committee discussed ways to expedite the process of securing permissions to publish submissions, including abstracts. Contacting authors has proven to be very time-consuming. The committee is considering policy that would mandate the inclusion of an abstract for any paper accepted for presentation at the BPG session. The committee discussed review procedures for the Annual, noting the fine line between selection according to defined criteria on the one hand and peer review or jurying on the other. The committee is not prepared to undertake the latter level of review both as a matter of policy (the established nature of the Annual) and because of limited time available for such an effort. Another recommendation from the committee was to ask the BPG Executive Council to request that the chairs of the Library Collections Conservation Discussion Group and the Archives Discussion Group submit to the Annual a summary of their presentations and discussions. It was observed that important and useful topics are discussed in those groups' sessions with no mechanism to record that material for members not in attendance. This would make the Annual a more complete record of the BPG's contributions to the annual AIC meetings. Finally, Shannon and Walter will review and update the guidelines for authors in order to make them more consistent with those for JAIC.

    Walter reported on the AIC Publications Committee meeting and the plans to prepare a cumulative author/title index for all specialty group publications. Walter noted that special issues of the JAIC are strongly encouraged. The AIC Publications Committee is planning to rewrite the guidelines for peer review.

    In response to the committee's previously noted concern over decreased BPG submissions to the JAIC, we reviewed articles resulting from presentations given at the last two AIC meetings. Many articles were identified as appropriate for the JAIC and authors will be contacted by mail with encouragement to submit for publication. In addition, the committee discussed several possible awards to further encourage submissions to JAIC. These ideas will be developed further and presented to the membership at the upcoming Dallas meeting.

    Olivia reported that volunteers are currently working on the sewing section of the Book Conservation Catalog. This section is being developed as an online document that will be accessible to the membership through the BPG website. Regarding the Paper Conservation Catalog, all chapters have been scanned, thanks to Walter, and await proofreading, to be coordinated by Kate.

    Nancy reported on her efforts to dispose of the excess inventory of Annual back issues in a useful manner. She proposed the following which met with committee approval: after exploring various options, we propose to send 100 sets of the annual to APOYO members in Central and South America, to be selected by Amparo de Torres of the Library of Congress. An organization that funds conservation in Latin American countries will be approached about sharing the mailing costs which are projected to be $30–$35 per set.
